Greetings Everyone,
Congratulations on a successful third quarter! While our market forced us to painstakingly restructure our business strategies, our third quarter results highlight the success of our efforts.
Through our team’s perseverance we achieved great third quarter results. Profits rose an astounding 9% over last quarter. Our improved profitability was fostered by our innovative sales and marketing initiatives, which produced an 6% sales increase, and our reinvented production planning system, which increased production efficiency by 12%.
Our great results were achieved by you, our wonderful workforce. Kathy’s ingenious sales plans, combined with Greta’s creative marketing programs, helped us break into new markets. Additionally, Rick’s drive to improve manufacturing efficiency, combined with Chris’ revamped production planning system, have produced faster order processing, improved work flow, and decreased inventory. All of these efforts to increase sales and cut costs, combined with your unwavering dedication, allowed us to prosper in this difficult market.
Moving forward we will continue to improve product quality and pioneer new market segments. We have the knowledge, skills, and resources we need to maintain our success. Thank you for your hard work and I look forward to the promising fourth quarter ahead of us.

Your choice of the word" painstakingly" when making reference to restructuring your strategies stimulated empathy. If I had been an employee involved I would have remembered the pain as well!
"Give me names" ! I like the use of employee's names mentioned as well. If all quarterly communications used names I would want to make sure that I did something that got my name mentioned! Great way to invoke interest and challenge in an employee to surpase expectations!

ReplyDeleteGood memo. I enjoyed the fact that there was concreteness by calling out the specific changes that drove the improvements. If I may suggest one thing to change I would refer to departments rather than a single individual unless your organization is really small. I'm only suggesting this since I imagine many of the changes and improvements were a result of departmental improvements rather than a single individual and may cause resentment among the respective departments. Otherwise a solid memo
Thanks for your feedback Steve. It is certainly a point I will make note of for future situations. I made reference to the specific individuals because they tend to be the main people in charge of each of these initiatives. We do have a rather small office staff (about 40 people), so it tends to be a personal environment.
ReplyDeleteGreg, I liked how you admitted that the process of getting to this point was painful but worth it. People hate going through those changes, but when you finally see the benefit it makes it worth it. It also makes defending the next wave of changes possible!
ReplyDeleteI think Steve makes a good point in regard to names. I find myself doing that as well and need to take the feelings of the less recognized individuals into consideration. Coming into sales from the technical side of things I can tell you that there may be a feeling that all the sales and marketing folks do is go to fancy lunches with customers. Maybe a tie into that with some humor attached would help to convey that they have done some actual work. Ha Ha

Like Barb, I do like the fact the use of names but I understand where steve and paige are coming from. I would assume that the names were used because of the extra ordinary work that these individuals have done in this quarter which resulted in the quarter's success.

ReplyDeleteI really like how you implemented some employee names into your announcement. This certainly shows employees that their hard work and dedication does not go unnoticed. I also thought it was important how you attributed the company’s results to the efforts of the workforce. Not only this, but while you managed to have a successful quarter, I like how you emphasized that constant improvement is still necessary. Very well written Greg!
